How can I easily and quickly add, complete, and archive my signed documents?

Discover in this article how to import, complete, store, and track your signed documents.

1️⃣ Import your signed document

The import applies only to signed documents in PDF format.

From Tomorro, there are three ways to import a signed document:

Via a “New Project”

From the homepage, click on New Project and directly import your signed document.

Via the repository

Drag and drop your signed documents directly into the repository.

Via Mail

Forward an email from Gmail, Outlook, or your inbox containing a signed document to the dedicated address provided by your organization.

Forward your email containing the signed contract directly to this dedicated email address


Each new imported project is automatically created with the default status "Signed project to complete".


2️⃣ Complete Your Project Information

❇️ If your organization uses Oro (IA), you can review the data found to speed up filling the summary sheet and other required information.

Templates

Select your preferred template.

The “Blank Project” option has evolved into a real template. This change ensures continuity for organizations already using this feature.

Depending on the selected template, some additional mandatory fields will appear and must be filled in as well.

Form and Mandatory Fields

A new form, directly integrated into the summary sheet, allows you to fill out mandatory fields and validate the data extracted by Oro (our AI).

  • The data identified by the AI is prefilled and visible in the summary sheet.

    • Before validation: These data can be reviewed directly in the text body.

    • After validation: The data is permanently saved to the project.

Once the data is verified, all you have to do is validate it .

Once validated, your document will move to the signed status.

Storage management

This document can be stored in three different ways depending on the use case

  • Specific folders: If you import into a specific folder in the repository, the project will be visible there directly.

  • Dynamic storage: Based on a model with a predefined dynamic storage rule.

  • Manual archiving: If neither of the above applies

Attachments files & Additional Information:

Enhance your projects by adding:

  • Additional files.

  • Participants.

  • Reminders and associated tasks.

Is your project complete? You can move to the next one or go back to your repository:


3️⃣ Track Your Signed Projects

Incomplete projects

Signed projects are immediately available in the contract library, even if some information is missing.

The projects, if signed and not terminated, will be detected as incomplete, thanks to a tag if they contain:

  • Missing mandatory fields.

  • Missing template.

  • Mandatory fields found by Oro but waiting for validation.

An informative red dot indicates the number of projects to be completed.
You can apply various filters(co-contractor, creator, date, etc.) to better organize your work.

Projects Without Location

Projects without an archiving rule or template will be temporarily placed in a folder named “Projects Without Location”.

  • These projects remain accessible only to participants or administrators.

  • The folder is automatically updated as soon as an archiving rule is applied.

  • If a signed document is drag-and-dropped into the root of the contract library, it will go directly into the “Projects Without Location” folder.
